Great gala entertainment is a logistics story that ends in applause. Here’s the checklist that gets you there.

Rigging: ask early

Aerial acts need either certified ceiling rigging points (many hotel ballrooms have them — your venue’s engineering team knows) or a freestanding aerial rig, which needs roughly 20 feet of clearance and installs in under two hours. Ask your entertainment company to liaise directly with the venue; translating rigging specs shouldn’t be your job.

Insurance: the paperwork that matters

Corporate venues in Canada typically require a certificate of insurance (COI) naming the venue, with $2M–$5M commercial general liability. Professional companies produce this within a day. If a performer can’t, that’s your sign.

Timing the show

The proven slots: an ambient act at arrival, a 5–8 minute feature between courses, and the headline right before or after awards. Keep featured acts under 12 minutes — corporate attention is a gift you shouldn’t overspend.

The booking timeline

Gala season (April–June) and holiday season (November–December): book 3–6 months out. Off-peak: 4–8 weeks is usually comfortable. Custom-costumed or branded acts add 3–4 weeks of build time.
